Managed Print Services

What is Managed Print Services?

Managed Print Services is different whoever you speak to.

The Managed Print Services concept has been embraced by Manufacturers and Suppliers as a means of regaining lost profits over the years as hardware and click costs have been continually eroded.

To maximise savings, and at the same time be certain that they are achieving best value, any organisation can embrace the MPS concept and manage their own fleet providing they know what they are managing and have clear strategic objectives.

PUROSolutions have been delivering Independent Print Audits since 2006 to identify the current devices, their volumes and their costs and by analysing user behaviour and workflow we can produce Solution Design options to reduce costs, improve operational efficiency, improve document security and reduce the environmental impact.

The chances are you already have the people in place that are managing the individual components and once the Print Audit Report and data Analysis has been completed you will be in a strong position to make an informed decision on how to best manage you your print output whilst managed the change process across the organisation.

During our audits we have identified many instances where suppliers have not been providing best value.  In one instance recently the consumable supplier was happy to provide higher priced consumables when they had more cost  effective options available to the users.

During another recent audit we identified fundamental billing errors in rental and in click costs by a Global print manufacturer with overcharging amounting  to £ tens of thousands in the last year alone.  Who knows what this customer may have been overcharged over the years.   The same supplier is one of the leading MPS providers!!!

The Government Procurement Service have gone some way to help clients by introducing Lot 4 Print Audit Services on their RM1599 Framework.  This allows customers to benefit from an Independent Print Audit Report which they can use to assist in their purchasing decisions.

Xerox have summarised the MPS concept as good as anyone and I have included their description below.

How Xerox describe Managed Print Services.

What is “managed print services” (MPS)? The managed print services definition is broad, but the end result is simple: gaining visibility and control of your printing, which helps you save money and boost productivity. Managed print also helps you improve environmental sustainability and document security.

By “printing,” we mean the total cost of managing and optimising your printers, their output, and the people and processes that support these devices. This includes:

  • Pages produced by office workers, mobile workers and production print operations
  • Office desktop printers, multifunction printers, copiers, scanners, fax machines and high-volume printers
  • Materials sent out for quick printing, offset printing, mailing and distribution
  • IT help desk support, technical service, maintenance, and add, move and change requests
  • Paper, ink, toner and other supplies and consumables

Add up the costs of “printing” and it accounts for a large chunk — as much as 15% of a business’s annual spending. Through managed print services, you can outsource print management and cut costs by as much as 30%.

The best managed print services companies do more than just oversee your printers. They also:

  • Conduct a thorough, up-front assessment to analyse your current printing infrastructure.
  • Monitor, manage and optimize your total print output environment, end to end, regardless of printer brand.
  • Provide a roadmap to reduce the number and types of printing devices and supplies while meeting the needs of your business.
  • Proactively identify and solve potential printing problems and replenish supplies before employees are affected.
  • Reduce your environmental footprint through printing less paper, consuming less energy, generating fewer greenhouse gases and keeping waste out of landfills.
  • Give telecommuters and mobile workers easy and secure printing access.
  • Continuously monitor your printing environment and use ongoing process improvements to save you time and money.
  • Provide network management and information technology (IT) integration, from platform support to cloud-based solutions.
  • Train your employees for a smooth transition through change management so they are more satisfied and productive.
  • Have a proven track record in deploying managed print services anywhere in the world through a global network of highly skilled experts.
  • Turn slow, paper-based processes (like routing and approvals) into automated, digital ones.

What’s the true measure of a good managed print services provider? One who can seamlessly manage your print infrastructure while you concentrate on your real business.
